Booking Terms & Conditions

 

(1) Booking

 

The booking form must be completed and signed using the form on the booking page. A cheque with a deposit of £500 must be sent with the signed form to 94 Woodwells Road, Birmingham, B8 2TG. A receipt of the deposit will be sent to the address you specify.

  

(2) Payment

 

The balance of the payment must be settled in full within 4 weeks prior to departure. All payments must be in pounds sterling. If the full payment is not received on time, Hilal Tours reserves the right to cancel the booking and forfeit the deposit without notice. Instalments can be arranged for special conditions and for limited seats only. All necessary documents should arrive at our office no less than six weeks prior to the departure date. Once the Hajj visa is granted, 90% of the total package cost will be due in case of cancellation for any reason regardless of when we are notified of the cancellation.

 

(3) Cancellation     

 

For cancellations applicants are required to send a request letter, signed and dated. Cancellation letters should be sent within 30 days of making a booking. If we do not receive a cancellation after the 30 day period your deposit will be forfeited unless full payment is made immediately.

 

(4) Visa Application

 

In order to make your Hajj or Umrah application please ensure the following items have been submitted:

 

  • 4 Colour Passport size photos with a white background ONLY.

  • Proof of Meningitis (ACWY) vaccination

  • Passport valid for eight months (6 months absolute minimum)

  • Non-British Passport holder must have "INDEFINITE PERMISSION TO STAY" endorsed in your passport.

 

Hajj Visas are granted by the Saudi Government free of charge. Hilal Tours are able to obtain Hajj & Umrah visas for all British, EU and other nationals who have any legal right of residency for the UK. The Saudi Embassy requires your passport for varying lengths of time in order to issue a visa. We cannot give accurate guidelines as to processing times and ensuring the fastest processing time. If you have any questions at this juncture, we will gladly walk you through the process.

 

However please remember:

 

  • You must have a Hajj or Umrah Visa to travel to Saudi Arabia

  • If anyone has a non-Muslim name, he or she should submit a certificate from a mosque or an Islamic centre confirming that the applicant is a Muslim with the Visa Application.

  • Four recent passport size colour photograph on a white background, any other colour background will be rejected and your application will be delayed.

  • Passports should be valid for at least 6 months from the date of submission of the application form. Ideally your passport should have eight months validity.

  • Women and children should be accompanied by husband/father or a male relative (Mahram). Proof of relationship is required (a marriage certificate for a wife, a birth certificate for a child indicating the names of both parents). The Mahram must travel into and out of Saudi Arabia on the same flight as his wife and children.

  • If a woman is 45 years old or older, she is allowed to go without a Mahram with an organized group or family and submits a notarized No Objection Certificate from her Mahram.

  • If the applicant is not a national of the country he/she is applying from, a valid residency permit must be submitted with the application.

  • A vaccination certificate against Meningococcal Meningitis should be attached. The certificate of vaccinations should have been issued not more than three years and not less than 10 days prior to entry to Saudi Arabia and it should be valid for three years. The vaccination certificate must be with the applicant on entry to Saudi Arabia.

  • Hajj Visa is valid for 30 days only

  • Umrah Visa is only valid for 14 days, unless otherwise stated

  • We do not guarantee any Hajj or Umrah Visa nor do we accept any liability if your Visa for Hajj or Umrah is refused for any reason.

 

(5) ATOL Protection

 

When you book your Hajj and Umrah package or flights with Hilal Tours you can be rest assured that you will be protected by ATOL.  Hilal Tours is ATOL protected under Zam Zam Travels Ltd if you would like to verify their ATOL Number it is (9798), you may check on the ATOL website by checking their website www.caa.co.uk/ATOL.

 

ATOL is a financial protection scheme covering UK travellers. Only ATOL Protected tour operators can provide the peace of mind and full financial protection. The price of our air holiday packages includes the amount of 2.50 per person as part of the ATOL Protection Contribution (APC) we pay to the UK Civil Aviation Authority. This charge is included in our advertised prices.

 

(6) Outsourced Airline Tickets

 

If you purchase airline tickets from another provider or source and not from Hilal Tours, we will not be liable for the following:-

 

  • Cancelled or delayed flights

  • Hajj or Umrah Visa Applications

  • Refused Hajj or Umrah Visa's

  • Baggage Allowances

  • Lost Baggage

(7) Delays and Changes to Dates 

 

Due to the large number of pilgrims delays and queues are expected in Saudi Arabia. Times that we have provided are tentative and delays may occur from time to time. You are requested to abide by the times appointed by your group leader as this would override our times. Hilal Tours reserves the right to change the departure if necessary but we inform you of any changes made. Date changes are extremely rare and usually results from bad weather conditions, rescheduling times by airlines, action by air traffic controllers, mechanical fault or industrial actions all of which are beyond our control.

 

Hilal Tours is not to be held responsible in anyway for the loss or invalidity of connecting tickets or flights due to any delays beyond our control. It is your responsibility to ensure that your luggage weight is within the carriers allowance, extra weight is chargeable by the airline and must be paid to them directly upon request. We are not responsible for freighting your baggage, and we do not give credit or lend money nor are we responsible for lost baggage.

 

 

(8) Accommodation

 

The majority of our accommodation is shared and is of very good standard, star rating is according to the Saudi Ministry of Trade standards. The distances advertised are according to the calculations of concerned authorities in Saudi Arabia as shown in official licenses.

 

(9) Price Changes

 

It may be necessary to increase the cost of the advertised package at anytime without notice due to unforeseeable circumstances.

 

(10) Health

 

Health services are free as provided by the Saudi authorities, however if any passenger is on regular medication, he or she should consult his or her GP and inform us of any requirements on the form. In case of death the deceased is buried according to the regulations of Saudi Arabia and repatriation of the body is not possible.

 

(11) Our Pledge
